Business Need

The client needed a cloud-based tool to generate individual subcontracting plans for official government proposals, ensuring compliance with contract standards.
Solution
Bayen Group developed a cloud-based platform for employees to enter pertinent information into a form wizard, significantly streamline the process. By implementing machine learning and logic, the system helps collect accurate information specific to the deliverables identified in proposals and contracts, reducing the need for back-and-forth communication between requestors and the small business team. The form fields validate the collected information to ensure compliance with government regulations, and requestors can submit an internal work order list if they have a team qualified to provide the necessary funds and resources to fulfill the contract’s requirements.
The platform also includes a Bill of Materials (BOM/EBOM) template, allowing requestors to list all the materials required to fulfill the contract and determine the budget. Additionally, requestors can enter information about the small business contractors they want to engage and list relevant small business government certifications. A mandatory unique description field enables requestors to add specific information beyond the form fields, tailored to the contract they are bidding on.
The small business team will create the formal proposal, auto-filled with the requestor’s content field submissions. They will have access to a robust dashboard displaying requests and a list of actionable tasks. The platform enables the team to seamlessly generate official government documents and cover letters, dynamically driven to pull content from SharePoint fields. Prior submissions can be searched and used as templates for future contracts, saving time and effort.
