Bayen Group developed a centralized Access Request Form to simplify the process for employees to submit requests for access to technological tools and associated training required to do their job. This form decreases errors and saves time by providing access through data validation, process consolidation and workflow automation.

Business Need
The client required a user-friendly, cloud-based platform for employees to request access to job-specific tools and training. It was essential that these requests be formally tracked with status updates throughout the lifecycle of the ticket until it was resolved. Additionally, the client needed an automated process for validating training and managing approvals, which would work seamlessly with the consolidated request process.
Solution
The solution Bayen Group devised alleviates the need for multiple forms by creating a centralized SharePoint single process request form powered by autofill and forms validation. It seamlessly integrates the form with the company’s ticketing system to track and verify requests, streamlines the workflow to identify and notify employees via email of any required training as a prerequisite to accessing tools, and increases efficiency through automation with alerts to inform managers to approve requests. The system provides instructions on how to get access via email notification to eliminate the amount of “junk” in the system, enables the BSI team to allocate less time tracking down information versus processing requests, and integrates with LX Training to validate training and report to the government. Additionally, it integrates with the Ticketing System to form a comprehensive process from requesting to requests fulfillment.
